Bookkeeper / Accounts Manager – Guildford c£35k

The Employer

We are a small, niche, long established technology accessories (for phones, tablets, watches, speakers etc) business, based in well appointed rural offices, now seeking to recruit someone to take over our Book Keeping and Accounts Management.


Role Overview for the Bookkeeper / Accounts Manager:

Reporting to the Managing Director, this is a stand-alone, hands-on role with sole responsibility for managing all aspects of the bookkeeping function up to the production of monthly management accounts to include Balance Sheet and Trial Balance.  Contact with third party accountants for filing of year end accounts.  Interface where necessary with logistics and production planning to ensure effective on-demand supply.


Key Tasks for the Bookkeeper / Accounts Manager:

  • Manage all sales and purchase ledger transactions using QuickBooks
  • Manage all aspects of credit control and accounts receivables including robust telephone follow up with customers to ensure prompt settlement of invoices
  • Set up and on-board new customers and new suppliers
  • Process supplier invoices and purchase orders
  • Assist Managing Director with cash planning and accounts payable
  • Manage product set-up and build assemblies through QuickBooks so that stock records are accurate at all times
  • Processing through QuickBooks all channel product returns, stock rotations and associated credit notes
  • Interface with Sales Admin where necessary in respect of logistics planning and execution
  • Deal promptly with all accounts queries and the filing of all accounts paperwork
  • Manage third-party suppliers (facilities, office supplies, services etc)
  • Produce BACS payment runs
  • Deal with and resolve customer and supplier enquiries promptly

Monthly tasks:

  • Preparation of monthly Intrastat and ECC sales reporting.  Online filing
  • Process monthly and quarterly VAT reports and ensure timely online filing for both
  • Reconciliation of all bank accounts and credit card statements (across three currencies)
  • Timely processing of payroll, pensions, staff cash and credit card expenses
  • Timely processing of online sales through QuickBooks, across three currencies
  • Monthly reconciliation of stock movements in QuickBooks to include samples


Applicant requirements:

  • 3-5 years’ experience in a similar role
  • Prior experience of working in a small to medium sized business up to management accounts level
  • AAT qualified, Level 3 or above, strong technical accounting background
  • Experienced user of QuickBooks, Sage or other desktop multi-currency finance software is essential
  • Computer literate, intermediate or advanced user of MS Word and Excel
  • Experience of managing multiple currencies – Sterling, Euro, USD
  • Experience of manufacturing, import & export would be helpful, not essential
  • Working knowledge of French would be helpful, not essential
  • Proven administrative skills and strong time management
  • Pro-active, with ability to work off their own initiative with minimal supervision
  • Confident and outgoing with excellent telephone manner
  • Keen eye for detail, strong analytical and numerical skills


The Salary & Benefits

The Bookkeeper / Accounts Manager salary is c£36,000  per annum, negotiable dependent upon experience.  We offer a pension; our annual leave entitlement is a generous 28 days, plus bank holidays (usually a further 8 days). Working hours are 9am to 5pm on Monday to Friday, free parking on site.
